Office Manager / Executive Assistant

Position Summary

 

At Embodied, we are proud to be building social assistive robots and we are looking to add an office manager / executive assistant to our growing team. The ideal candidate will be able to work independently with limited oversight. Come be a part of a team that is out to change the world!

 

 

Responsibilities:

 

  • Keep office stocked and organized with all necessary equipment, supplies, furniture, food, and drink.

  • Work with building management to resolve any office, parking, utility, or janitorial issues.

  • Open, sort, and distribute all mail and packages.

  • Book meetings, calls, flights or hotels with board members, agencies, candidates, etc.

  • Assist in onboarding new employees and orientation.

  • Organize company parties, events, and lunches.

  • Create team meeting presentations for company meetings.

  • Execute, file, and retrieve all NDAs, contracts, SOWs, and other legal agreements.

  • Assist with keeping business license, liability coverage, workers compensation, and other legal obligations up to date.

  • Work with our CFO to send regular financial reports to investors.

  • Available as a resource to answer questions from investors, board members, and other stakeholders.

  • Initiate all payments for orders, vendors, reimbursements.

  • Filing and retrieving financials, including invoices, receipts, expense reports, bank statements, etc.

  • Keep kitchen, lunch area, and conference areas clean daily.

  • Assist with any other miscellaneous company projects and general administrative support.

Qualifications:

 

  • 2 years of experience as an office manager or administrative assistant.

  • Knowledgeable of office manager responsibilities and procedures.

  • A creative mind with the ability to implement office improvements.

  • Effective time management skills and ability to work independently.

  • Excellent attention to detail.

  • Professional and proactive work ethic with the ability to multitask.

  • Competency in Microsoft and Google Drive applications including Word, Excel, Power Point, Gmail, Docs, Sheets, and Slides.

  • Excellent interpersonal, written, and oral communication skills.
